WhatsApp appointment reminders for clinics
Written by Kev.

A WhatsApp appointment reminder is a short message on the patient's own WhatsApp before a visit: the time, the place, and an easy way to confirm or change it. Send one when you book, one the day before and one shortly before. A reminder only helps patients who got booked, so answer the first message quickly too.
Why clinics send reminders on WhatsApp
Patients already message clinics on WhatsApp. One Dubai dental clinic's listing puts it simply: "contact us via call or whatsapp". At small clinics, the same front desk phone often handles both. A reminder in that same chat lands where the patient already talks to you, and they can reply in a few seconds.
Some well-known booking platforms send reminders by SMS or email (Okadoc terms, Practo Ray plans). On WhatsApp the reminder and the patient's answer sit in one conversation, in your clinic's name.
How big is the no-show problem in the UAE?
Two numbers get quoted, and they are very different.
- 37% comes from a 2019 Dubai Healthcare City release. It is an estimate, and the release gives no method.
- 21% is a measured rate for UAE public primary care appointments, from a 2025 study in JMIR Formative Research.
Neither is a figure for small private clinics. The useful number is your own. Count booked and missed appointments for four weeks before you change anything, then again after.
When should a clinic send a WhatsApp reminder?
Send three short messages, each with one job:
- At booking: confirm the date, time and address, so the patient has it in writing.
- The day before: remind them and ask them to confirm or change the time. This is the message that frees up a slot you can still fill.
- Shortly before: a brief note on the day, with directions or parking if that helps.
Pick timings that suit your patients and keep them the same, so patients learn what to expect.
What should a WhatsApp appointment reminder say?
Keep it short and in your clinic's own name. Include the patient's first name, the day and time, the clinic and who they are seeing, and one clear way to reply. For example:
Hi [first name], a reminder of your appointment at [clinic] tomorrow, [day] at [time]. Reply 1 to confirm or 2 if you need a different time.
Leave clinical details out. The time and place are enough, and a phone screen can be read by anyone nearby. Leave offers out too: a reminder that turns into a promotion stops being read.
Can you send reminders from the WhatsApp Business app?
Yes. For a handful of patients a day, a receptionist can send each reminder by hand from the WhatsApp Business app. It needs no new tool, but it depends on someone remembering on a busy morning, and replies arrive while the same person is checking patients in.
Once you want reminders to go out on their own, you need a tool connected to WhatsApp on your clinic's number. In Kev, WhatsApp template messages are written and reviewed before Meta sees them, and Meta's conversation fees, which vary by country, come out of your usage allowance.
Most patients are lost before the reminder
A reminder cannot help a patient who never got booked. This is a public Google review of a Dubai dental clinic:
"We have been trying to call this clinic for 2 days no one answers, they texted us mentioning that they found a missed call from us but stopped replying."
That patient was ready to come in. Nobody failed to remind them; nobody answered them. So look at the first reply as closely as the reminder: how long a new WhatsApp message waits during clinic hours, and how many enquiries never become a booking.
Ask where patient chats are kept
Before you move patient conversations into any tool, ask where the messages are stored and processed. Get the answer in writing from whoever provides the tool.
How Kev handles bookings and reminders
Kev works on WhatsApp on your clinic's own number and name. Here is what it does today:
- Every reply starts as a draft your team approves, edits or rejects. Edits teach Kev how your clinic answers.
- Kev checks real availability in your Google Calendar and books the appointment inside the conversation.
- It sends the patient reminders on their own channel 60 minutes and 10 minutes before.
- Voice notes from patients are transcribed and answered.
To be clear about the limits: those are the two reminder times today, and a day-before confirmation is not one of them. Kev does not answer Instagram direct messages, and there is no website chat widget. See the full list on the features page, or read why Kev exists.
Questions
- How long before an appointment should a clinic send a WhatsApp reminder?
- Send a confirmation when you book, a reminder the day before that asks the patient to confirm or change the time, and a short note on the day. The day-before message matters most, because it leaves time to fill the slot if the patient cannot come.
- Can I send appointment reminders from the WhatsApp Business app?
- Yes. A receptionist can send each reminder by hand from the WhatsApp Business app. It works for a handful of patients a day, but it depends on someone remembering on a busy morning. For reminders that go out on their own, you need a tool connected to WhatsApp on your clinic's number.
- What should a WhatsApp appointment reminder include?
- The patient's first name, the day and time, the clinic and who they are seeing, and one clear way to reply, such as 1 to confirm or 2 to change the time. Leave out clinical details and offers.
- Do WhatsApp reminders reduce no-shows?
- They help booked patients remember and reply in the chat they already use, but we have no results of our own to quote yet. The fair test is your own numbers: count booked and missed appointments for four weeks before you start, then four weeks after.
